How to use the Communicate features in the Grassroots 360 Admin Panel, including sending emails and managing scheduled emails to club members.
Sending an Email to Club Members

Navigate to the Communicate section
From the Admin Panel, click on Communicate in the left-hand navigation menu, then select Email from the sub-menu.
The Communicate section allows you to send emails directly to your club members and manage scheduled emails.

Click "Create" to compose a new email
On the Email page, click the Create button. This will open the email composition form.

Enter the email Subject
In the Subject field, type a clear and descriptive subject line for your email. This is what recipients will see in their inbox.
Keep the subject line concise and informative so members know what the email is about at a glance.

Compose the email body
Use the rich text editor to write the content of your email. You can format text using the toolbar options — including bold, italic, bullet lists, and headings — to make your message clear and professional.
You can include important club announcements, match updates, event invitations, or any other information you wish to share with members.

Select the recipients
Choose who should receive the email. You can typically select all members, specific teams, or individual groups depending on the options available on the form.
Be sure to select the correct recipient group to avoid sending irrelevant emails to members.

Send or schedule the email
Once you are happy with the email content and recipients, click Send to deliver the email immediately, or use the scheduling options to set a future date and time for the email to be sent automatically.
Scheduling emails is useful for sending reminders ahead of matches or events without needing to remember to send them manually.
Managing Scheduled Emails

Access Scheduled Emails
From the Communicate section, click on Scheduled Emails in the sub-navigation. This displays a list of all emails that have been scheduled to send at a future date and time.
You can see each scheduled email's subject and the date and time it is set to be sent.

Edit a scheduled email
To make changes to a scheduled email before it is sent, click the Edit button next to the email in the list. Update the subject, content, recipients, or scheduled time as needed, then save your changes.
You can only edit a scheduled email before it has been sent. Once sent, the email cannot be modified.

Delete a scheduled email
To cancel and remove a scheduled email, click the Delete button next to the email in the list. Confirm the deletion when prompted.
Deleting a scheduled email will permanently remove it and it will not be sent. This action cannot be undone.
